Conference support

Heidelberg University, its faculties and institutions regularly invite scientists from Germany and abroad to conferences and meetings. For guests who travel with their children and require reliable childcare tailored to their individual needs during their stay, Heidelberg University offers conference childcare. If you are planning an event and would like to offer childcare, please contact the Family Service. 

Notes

  • Children between the ages of 1.5 and 6 can be looked after from Monday to Friday.
  • Care can be provided on site, but you must be able to provide a child-friendly room in your facility. If space is available, care can also be provided at the KidsClub.
  • Our childcare staff includes trained caregivers, which means that the children are insured.
  • In the event of unforeseen illness among our staff, we reserve the right to cancel childcare.
  • Sick children cannot be care for.
  • The price for childcare is currently 20 € per child per hour. For invoicing purposes, we need to know who will cover the costs, the institution or the parents themselves.
  • Registration for childcare is binding three weeks before the start of the event. In the event of cancellation after his period, we reserve the right to charge an organisational fee (of 50€). 

Registration

  1. In order to be able to offer conference childcare, the service for families must be requested in good time so that childcare staff can be provided.
  2. When making a request (by email), we require the following information:
    - Type of event (symposium/ conference/ meeting or similar) 
    - Location where childcare is to take place 
    - Period of childcare required (day and duration of childcare) 
    - Contact person for the following questions
  3. We'll let you know as soon as possible whether we can organise childcare.
  4. For planning purposes, we require confirmation of whether and how many children have been registered at least 6 weeks before the start of childcare. We also require the following additional information: age/gender of the child, native language, and any other restrictions/ special requirements. You will then receive confirmation from us.
  5. Three weeks before the start of the event, the registration for childcare is binding. Therefore, please inform us in good time by email if childcare is not required.
  6. An invoice will be sent to you by email after the event.
